Get Started in 3 Simple Steps
Setting up your automated renewal system is fast and easy. Follow this guide to get started.

1
Complete Your Setup
Before you can automate, you need to tell the system who you are. After signing in, go to the **Settings** area:
- **Configure SMTP:** This is essential for sending emails. Enter your Gmail, Outlook, or hosting email credentials. Use the "Test Email" button to ensure it works.
- **Add Company Details:** Fill in your company name, address, and currency symbol. This appears on all your invoices and receipts.
- **Add Payment Methods:** Add your bank account or UPI details. This is what your clients will see when they receive an invoice.
- **Customize Invoices:** Set your invoice number prefix (e.g., `INV-`) and a theme color for branding.

Add Clients, Services & Assignments
First, add your reusable building blocks:
- Go to **Clients** and add your customers.
- Go to **Services** and add your products (e.g., "Annual Hosting," "Monthly SEO," "1 Year Domain"). Set the price and default duration (like "1 year" or "6 months").
Now, link them together in the **Assignments** tab. This is the core of the system.
- Click "Assign Service to Client".
- Select the client, the service, and the **Expiry Date**.
- Set the **"Send Reminder On/After"** date. This is the day the automation kicks in.
- Choose which email template and payment method to use for this specific client.

Approve & Get Paid
Once an assignment is set, the workflow is automatic:
- **Automation:** The system's daily cron job finds assignments where the "Reminder Date" has passed. It sends the email and changes the status to "Pending Renewal".
- **Client Action:** The client receives the email, downloads the PDF invoice, and clicks the unique payment link. They enter their transaction ID and click "Mark as Paid".
- **Admin Approval:** The assignment status changes to **"Pending Admin Review"**. You see it in the **"Renewals"** tab. You verify the payment and click "Approve".
- **Done:** The system automatically calculates the new expiry date, logs the invoice and receipt in the "Documents" page, and sends your client a confirmation email with their new receipt.
